How do I take my records with me, or close my company?
For the owner
Your records are yours to download any time, as spreadsheets, from the office website. To close the company, the owner does it in the app and then has 90 days to download what is left.
Download your records
- Settings, Your data, Download everything (the owner only): every list as spreadsheets, plus every visit’s photos, signed reports and stored files. Start here. The lists below are only parts of it, and some records have no button of their own: the company file, the team file with trainings and gear, vehicles, credit memos, the money log and the customer status log.
- Records: pick the dates under When, then tap Export … (CSV). The page starts on the last 30 days, so choose a longer range first. The Restricted use tab has the same button, for restricted-use products only.
- Records, Termite reports: Export (CSV).
- Billing, Invoices: pick the Issued range, then QuickBooks file. With All time picked, the file holds this month only. Who owes: Download (CSV). Payments: pick the Received range, then Payments file (CSV).
- Reports: open Products used, then Export CSV.
- Customers, a customer’s Stations page: Export (CSV).
- Team, Hours: Payroll file (CSV), one week at a time.
- Customers, Move in from your old system: The move-in report, or Download the report from Earlier moves.
Arizona asks you to keep application records for 3 years. Download everything before you close.
Close the company
- Sign in to the app with the owner’s login.
- Open Settings, tap the Account tab, and under Your login tap Close the company.
- A question comes up. Read it and tap Close the company in it.
You then have 90 days to download your records from the office website. The Account tab then shows the closing date. After the 90 days, the company’s records are deleted. That is done by hand at Barrierline, not on a timer, so it may not be on the exact day. When a company’s 90 days are up, Barrierline’s own health check says so on every check until it is deleted, so it is not forgotten. Tap Keep the company open on the Account tab to undo the closing. While it is closing, scheduled alerts, like termite reports coming due, stop. They start again if you keep the company open.
A tech’s login. A tech can delete their own login in the app. On a tech’s phone, open the Me tab, tap My license, alerts and sign out, and under Your login tap Delete my login. Their email and login are deleted. The records they finished stay with the company, because Arizona requires pesticide records to be kept. If the phone still has work to send, the app says “Not yet” until it has signal and has sent it.
Good to know
- Only the owner’s login sees Close the company.
- The phone stays signed in for the 90 days.
