Which files do I export or send from my old software?

For the owner

Export your customers, 3 years of visits, upcoming appointments, techs and products as CSV or Excel files, while your old account is still open. Some systems may give only a database backup after you cancel.

The files

  • Customers (or service locations), with each one’s recurring service, how often it comes round, next date, price and open balance if the export has them. Bring a column for how often, or plan names that say it (“Quarterly general pest”). A plan name that does not say it, or a sheet with no next date, is asked about on the files step, and the plans still come in. Include their status if the export has it (Active, Inactive, Cancelled, Do Not Service), and the day it began. A customer who has left comes in with that status and no running plans. Without a status column everyone comes in active. Bring the gate code, the dog, where to park in a column, or a few, called something like Gate/Notes, Gate Code, Dog, Access or Parking: up to four such columns come over together, each under its own heading, as Note for the tech (gate, dog, parking) and shows on the tech’s stop. Your office Notes stay the office’s. Bring the last service date too: it is kept on the customer as a date, shown as Last visit Aug 14 (from your old system). It is a date, not a visit, so it is not in the visit history (only a history file brings visits). A rate column called Monthly/Qtr Rate or Rate Per Visit is read as the price; the Check names the column it used, so look at it. A balance of 0 is no balance. A column you want to bring over for email: yes, no or stop is optional: without one, every customer comes in as Not asked yet for email, and nothing is made up. If your old software also has a billing frequency or an amount for each plan, include them: they are kept with the plan, and nothing bills from them. They show in the move-in report you download after the move, not on the plan’s screen yet. Export only your active customers and subscriptions: a status is read from the customer list, not from a file of plans alone. The names of these columns are guesses, not checked against a real export. If the page does not find one, change the This column is choice above it, on the files step.
  • Past visits, the last 3 years, with the products applied. Arizona has you keep application records 3 years. They come over only when you add a file for them; the page says so if you did not.
  • Upcoming appointments, techs (with license numbers) and products (with EPA numbers).
  • Termite bonds and warranties, if you sell them, and bait stations, if your system has them.
  • Your do-not-text list, if you text customers today: the customers who replied STOP or asked not to be texted, as a file of phone numbers (or a do-not-text column on the customer list). Each number goes on your do-not-text list, and the check counts them. The column names are guesses, not checked against a real export, so if the page does not recognize the file, choose My STOP list (numbers not to text) for it, or point the phone column yourself.

What the page says for your system

Click Customers, then Move in from your old system. Under Where you’re moving from, click your system. What to export from it then lists the files. For example:

  • PestPac: a Location report, a Service Order history report with materials, open service orders, and the A/R aging report for balances.
  • GorillaDesk: Customers, then Export, plus service history, upcoming jobs and the Sentricon Devices report.
  • Jobber: Clients, then Export, and the jobs export. Jobber stops at 1,500 rows a file, so add all the files.
  • FieldRoutes, Pocomos, Housecall Pro and the others: the page lists the files for each.

Not listed? Click Another system, or a spreadsheet.

File types. CSV and .xlsx work. An old .xls file is refused: save it as .xlsx or CSV. One move holds up to 300,000 rows (a customer and a plan are a row each, and so is every past visit). If yours is bigger, the page says so before it sends anything: keep fewer years of visits in the history file.

Rather we did it? On the files step, open Rather we did it? Send us the files. Drop in any kind of file, up to 100 MB each. Each file shows Waiting for us, then Ready to check, then Moved in. The move we prepare waits at the top of the page as A move we prepared from your files until you check it. Then see Check what came in, move it in, and undo it if I need to.

Check your service names first. The app finds termite work by the words termite, WDIIR, WDI, WDO or wood destroying in a service’s name. A service called “Sentricon install” or “Pretreatment” has none of them, so it gets no termite report (TARF) due date. A check on a bait station or monitor is left out on purpose. List your distinct service names and rename any termite work in the file before you add it.

Good to know: the move-in was built from each system’s documented column names and tested on made-up files. If a column lands in the wrong place, point it at the right one on the files step.
