Set up, pause or resume a recurring plan
For the office
A plan books a customer’s repeat visits for you. You set it up on the customer’s page, on the Plans tab.
Add a plan
- Open the customer (see customers) and click the Plans tab.
- Press Add a plan.
- Fill in Service, How often (from Every week to Once a year), Price per visit, First visit, Ends (optional), Tech, Time window and Note for the tech.
- Press Save plan.
Leave Price per visit empty if you want to price each visit when you bill. A plan that bills a flat amount for each period shows its charge under Billing, Plan charges, not on Ready to bill. A charge for a period with no visit booked starts unticked there, so it is not billed until you look at it. Each of those tabs has a line telling you what is waiting on the other (see billing). If a plan day falls on a Sunday, the visit is booked on the Monday.
When you save, the plan’s visits are booked at once for the weeks your company chose, and the message gives the next date. If booking ahead is off, it tells you to use Fill from plans on the Schedule. See how plans book their own visits.
Change a plan
Press Edit on the plan. Visits already booked follow a new tech, window, service or note. If you change how often it comes, the first visit or when it ends, visits that no longer fall on the plan come off. A visit you moved or changed by hand, or that a tech has started, stays as you left it.
Pause a plan
- On the Plans tab, press Pause.
- Pick why: The price, They moved, Went with another company, Unhappy with the service, The pest is gone or Something else. You can skip this.
- Add a note if it helps.
- Press Pause plan.
The visits it booked that nobody has changed or started come off the schedule. Today’s and tomorrow’s are cancelled instead of removed. The plan shows Paused with your reason. If visit reminders are on, a customer who had already been sent a reminder about one of those visits gets a short note that it is cancelled, except for a visit dated today (see email).
Resume a plan
Press Resume on a paused plan. The old reason is cleared. If your company keeps visits booked ahead, it books its visits again. If not, use Fill from plans on the Schedule.
See why plans stopped
Go to Reports and open the Callbacks tab. For the dates you picked, it says how many plans were paused and the reasons, like “2 the price, 1 they moved”. It sits with the callback numbers, and shows even in a range with no callbacks.
Good to know
- Customers on a paused plan show Paused in the customer list.
- A plan does not book visits while its customer is paused, cancelled or marked do not service. Saving the plan says so. To stop everything for a customer in one step, use Change status on the customer (see customers). Making the customer active again does not resume their plans; press Resume on each one.
