How do I read Reports?
For the owner
Reports shows one date range in seven numbers, then each tech in one table. Read the figures off your own screen. They are your company’s, for the dates you picked.
Pick the dates
Click This week, Last week, This month, Last month, Last 30 days or Custom. With Custom, set From and To. Weeks start on Monday. On a Monday, Reports opens on last week, because this week is only a morning old.
The seven numbers
Each number across the top is a tab. Click one to open its detail below it. Reports remembers the last one you opened on this computer.
- Stops done: done out of booked, with how many were not done, could not be done or were cancelled, and a chart of the days when the range is more than one day.
- Late stops: every stop in these dates that started late, newest first, with the day, the tech, the customer, the window, when that tech clocked in that day, when the stop started and how late. The rule is printed above the list: Late means started more than 15 minutes after the booked window ended. Late by says it both ways, for example 21 min after the window and, under it, 81 min after it opened. Clocked in is the tech’s first clock-in that day, from the hours on Team, Hours, and a dash when there is none. When one tech clocked in after the first late stop’s window had opened on most of the days shown (at least 3 days, and at least 3 in 4 of them), a line above the table says so, for example Marcus Bell clocked in after the first late stop’s window had opened on 6 of these 8 days. It is only said when it is true of the rows shown. A stop nobody started is not listed. It says No late stops in this range. when there are none. Click a stop to open it. Nobody is asked for a reason.
- Billed: invoices made in these dates, what was collected in these dates, and what is Owed now (all customers, as of today, not just these dates). Collected can be more than billed, because it can include invoices from earlier months, and the page says so under the row of numbers. A range that billed nothing says so, for example Billed this week: Nothing yet with what is ready to bill underneath, and Nothing billed this week yet in the Money panel. The tab also shows billed by service and the leads each tech found. If your company charges sales tax, Billed includes it and a Sales tax billed line says how much: a number for your accountant, not a tax return. Billed by service and by tech leave the tax out. See billing.
- Customer rating: the average out of 5 from the ratings customers leave on their own page, and the latest notes they wrote (up to five). A visit counts in the range it was done in.
- Callbacks: callbacks as a share of finished visits, why the office went back, and the latest ones. It also shows how many plans were stopped in these dates and the reason for each, even in a range with no callbacks. Beside it, customers lost counts the customers cancelled or marked do not service in these dates, once each, by the day it took effect and why. A customer you made active again by the last day of these dates is not counted (see customers). See callbacks. With fewer than 20 finished visits in the range, the number at the top is a count, not a rate.
- Products used: each product with its EPA number, total and applications, restricted-use ones marked. Export CSV saves it.
- Bait stations checked: how many were checked, with activity, bait replaced, missing or damaged.
The Techs table
One row per tech: Done, On time, On site, a stop, Between stops, Billed, A visit, Rating and Callbacks.
- On time counts a stop as on time when the tech started it no later than 15 minutes after the end of the booked time window. Only stops that have a time window and a start time are counted. The figure is a link: click it to see that tech’s late stops for the same dates. Team shows the same figure for this week, worded the same way.
- On site, a stop is the average time on site.
- Between stops is the time from finishing one stop to starting the next, so it is mostly driving. It shows an average a leg, and a gap over 90 minutes is left out.
- Billed is what the tech’s visits were invoiced for in these dates, before any sales tax. A discount is no tech’s, so when the range has discounts the column reads Billed, before discounts and adds up to more than the Billed total. A visit is that divided by their visits.
- Rating shows only when customers rated visits in the range.
- Callbacks counts each callback against the tech who did the visit it followed. From 20 finished visits it shows the rate with the count behind it, for example 15.0% (3 of 20), and 0 for a tech with none. Under 20 visits it says Not enough visits yet with the count. A dash means nothing was measured for that tech in the range.
Why “Not enough visits yet”
A rate on a handful of visits is misleading, so a rate is shown from 20 visits on, on Reports, on Team and on your phone. Under that, On time says Not enough visits yet with the count, for example Not enough visits yet (16). Callbacks does the same for any tech with fewer than 20 finished visits. Pick a longer range.
On your phone
More, then Reports has the same ranges. Under the chart it shows Billed (with how many invoices), Collected and Owed now for the range, and a row that opens Who owes. In the Techs table the On time figure is a link: tap a tech’s row to open Late stops for that tech and those dates, with the same rule, both minutes and clock-in as above. Show everyone drops the tech and keeps the dates. A tech’s page (More, Team, the tech) shows the rule under This week, lists the stops that started late this week with both minutes and when the tech clocked in.
Good to know
- A tech is marked in amber for an on-time rate under 75%, a rating under 4, or a callback rate half again as high as the company’s (with at least 2 callbacks).
