The team file: hire dates, training and gear
For the office
Arizona asks a pest control company to keep a file on each applicator: when they were hired, when they first did a service, their training, who supervised them, the protective gear they were given, and when they left. The Team file tab on Team keeps it. It does not change what techs do on their phones. You and the office fill it in.
Open it. On Team, click Team file. The page lists each tech: hired, first service, how many trainings, gear issued, supervisor, and anything still to fix. Click a name for their own file. Print this file prints it with each training’s topics, signatures, sheet and materials.
What is in a tech’s file
- Hired or started and Left, with the reason. Click Edit to type them. Removing a tech from the team writes today as the day they left, if you haven’t typed one. Bringing them back clears it, and the file’s history still says they left.
- First service. Barrierline reads it from their first finished visit. That is the first visit in Barrierline, so for a tech who worked for you before you moved in it is too late. Click Edit and type the real first day under First service, if before Barrierline. The file shows the earlier of the two days.
- Supervised by. For a tech who is not certified, the supervisor from their entry on Techs. For a certified tech, click Edit and type who supervises them, if anyone. If it changes, the file lists the earlier names too.
- Training and supervision, and Gear and equipment issued, below.
Add a training. Click Add a training. Put the date, what it was, a title, and a short description of what it covered. Pick the trainer (someone on the team, or someone else with their printed name) and tick who was trained. Then say where the signatures are:
- On a signed sheet. Save, then add the sheet under The signed sheet. A PDF, JPG or PNG up to 25 MB. The training says Signed sheet attached.
- Signed on paper. You type the names here and keep the paper yourself. The training says Signed on paper, kept by you. Barrierline does not hold those signatures.
A training with neither says Waiting for the signed sheet. Under Labels and other material used, add the labels and handouts you used. Open a training to see who was on it. Edit a training to add people. A person who wasn’t there is taken off with a reason (click Take off beside their name), and stays on the record as taken off. If you put a file with a training by mistake, open Put with this training by mistake? and take it off. The file stays stored.
Supervising someone who isn’t certified. Before a person who is not certified uses a restricted-use product under your supervision, federal rule 40 CFR 171.201(e) asks you to have a record that they qualified. Add a training of the kind Restricted-use product, supervised and say how they qualified. For training done by you or someone else, and for a person certified for something else (their certification number, when it ends, who certified them), Barrierline keeps what that rule lists. For agricultural handler training and a certifying authority’s own program, what that program asks you to keep is not checked here. Attach what it gave you. The tech’s file counts their finished visits with a restricted-use product and how many had no training dated before it. A training you enter later still counts, so check the dates. The rule says to keep the record for 2 years from the day they last used the product, and Barrierline keeps it at least 3.
Gear. On a tech’s file, click Issue gear: what it is, the size, and the day. When it comes back, click Came back or edit.
Kept, not deleted. Everything here is a legal record. You void it with a reason, and it stays on the file with the reason. Changing one keeps what it said before. Each is kept 3 years, or the number of years in Settings, Company, Keep records for, counted from the later of its own date and the day the tech left. While a tech is still on the team, their records are kept and say so. Nothing can delete one before then, not even us. Download everything has it in team-files.csv, trainings.csv, training-attendees.csv, training-papers.csv and gear-issued.csv. The papers are in the Documents folder.
What it doesn’t do yet. A tech can’t sign a training on their own phone. The trainer collects signatures on paper or on a sheet, and you add it here. The state’s Records, State rules page says which rows the team file keeps in full and which in part.
