Keep track of a customer who asked for a quote
For the office
A lead is a customer who asked for a quote. The Leads page keeps each one until you win it or lose it.
Where leads come from
- A tech taps More on a stop, then Customer wants a quote, picks what the customer wants and taps Send to the office. It shows up on Leads and in your Inbox.
- You add one: tap Add a lead, find the customer, say what they want a quote on, and add what they said and a follow-up day if you like. Then tap Add the lead. These show “Taken by the office”.
- From the techs’ notes on the Leads page lists finished visits from the last 30 days whose notes sound like a sale, such as “asked about a termite inspection, call her next week”. You can change What they want. Tap Make it a lead, or Not a lead to clear it. Nothing becomes a lead until you tap.
- Under a tech’s message in the Inbox, tap Make it a lead. It sets the follow-up for tomorrow. This works on a message about a finished visit that doesn’t have a lead yet. If it can’t, it says why. On a visit that is not finished it says “A lead comes from a finished visit, and this one is not finished yet”: add the lead from the Leads page instead. On a visit that already has one it says “That visit already has a lead”: open Leads to work it.
Working a lead
- Call them. Their phone number is on the line when you have it.
- Set the stage in the menu on the line: New, Called, Quoted, Won or Lost.
- Type the amount in Quote. It saves when you click out of the box.
- Pick a Follow up on day.
- For Lost, type why in the box that appears, like “went with someone else”.
- To book the visit, tap Book a visit. It opens the customer’s Schedule a visit form with the service and note filled in, and your quote in the Price box. After you book, the line says “visit booked” with the day. The stage doesn’t change by itself, so set Won when they say yes.
A lead needs a call today when its follow-up day is today or earlier and it isn’t Won or Lost. Those lines show a red tag that starts with Follow up. A sentence at the top of the page counts them, once at least one lead has been made this month.
Who gets the credit. The tech who found it. For a lead made from a note or a message, that is the tech on that visit. Each line says “From” and their name. In Reports, open Billed and look at Leads found by: for each tech, the leads made in the dates you picked, how many were won, and the quotes on the won ones. Leads the office added count under “The office”.
