How do I keep the pesticides I buy and the ones I get rid of?

For the office

Arizona has a pest company keep a record of every pesticide it buys or otherwise gets, and of every one it disposes of, sells, loses or gives up. Records, Company records, then Supplies, keeps both. You add each one; Barrierline does not read your invoices.

What each record holds

  • A purchase: the date, the trade name, the quantity and your business as the licensee (A.A.C. R3-8-503(A)(3)). Barrierline fills in your company’s name and license no. from Settings, Company, the day you add it. If the license no. was blank then, add it in Settings and press Change on the purchase: it is filled in from Settings when you save.
  • A restricted-use purchase also needs the EPA reg. no. and the name and license no. of who bought it (R3-8-501(C)). Barrierline will not save one without them, and lists these apart from the other purchases, with their own export. For other products the EPA reg. no. and who bought it are optional here: add them if you have them.
  • A disposal (R3-8-501(D)): the date, the product, its EPA reg. no., the quantity, the percent of active ingredient, the method, where it went, and who did it with their license no. It covers a product disposed of, sold, lost or given up.

Add a purchase

  1. Open Records, Company records, then Supplies, and press Add a purchase.
  2. Pick the product from your list, or choose Not on my list and type the trade name and EPA reg. no. A product marked Restricted use on Products makes the purchase restricted use.
  3. Fill in the date, quantity and unit. Bought from and Invoice no. are optional.
  4. Under Who bought it, pick a tech or The company to fill in the name and license no., or type them.
  5. Press Add the purchase.

Add a disposal. Open the Disposals tab and press Add a disposal. Pick the product, and the percent of active ingredient fills in when the product’s ingredient line has one (like Fipronil 9.1%); check it against the label. Say how it went in Method of disposal and Where it went: a hazardous waste drop-off, a hauler, back to the supplier. How a product may be disposed of is the label’s and the state’s rule. Barrierline records what you did; it does not say what is allowed.

Attach a receipt or invoice. In the form, press Attach a receipt, then add a PDF, JPG or PNG (25 MB at most) or pick one you stored before, and press Use this file. A row with no receipt has Add a receipt. The receipt is a stored file like the others, and it stays when you void the row.

Change one. Press Change on a row. What it said before is kept in Download everything (legal-record-history.csv).

Void one. Press Void, say why, and press Void it. The row stays on the list with your reason and cannot be changed again. Barrierline never deletes a purchase or a disposal: they stay until the company is closed, at least the 3 years the state asks for, counted from the later of the date on the record and the day you entered it. If your company keeps its records longer (Settings, Company), the record is kept that long.

Export. Each part has an Export (CSV) button (a list shows the newest 2,000 rows; if it says so, pick a shorter range of dates), and the restricted-use purchases have their own. The columns are named the way the state’s list names them, with the date range in the file name. Download everything has pesticide-purchases.csv and pesticide-disposals.csv.

What stays with you

  • Adding each record. A purchase you do not enter is not kept.
  • If you keep a product for years, keep its purchase record until 3 years after you dispose of it. Barrierline keeps it that long unless the company is closed.
  • The state’s exact wording. Barrierline’s list was read from a copy of the rules, and the state’s own text is the one that counts. One point to check yourself: whether R3-8-501(C) asks for the EPA reg. no. and the buyer on every purchase or only on restricted-use ones. Barrierline asks for them on restricted-use ones. Read R3-8-501 and R3-8-503 in the Pest Management Division’s laws and rules if you are unsure.
