Add a stop, move a visit and fill the week on the Schedule

For the office

The Schedule shows your week tech by tech, and it is where you add stops, move them and fill the week from plans.

Read the week

Week and Day at the top switch the view. On a phone (under 600 px wide) there is only the Day, because a week of seven columns does not fit; it opens on the Day.

The week. The grid runs Monday to Saturday, one row per tech. Each box says how many stops that tech has that day (“7 stops”). On the day on screen, a second line says how many are done (“4 done”), and a red “1 not done” shows when a stop could not be done. On other days the second line says how much room is left: “3 open”, “full” (8 stops, a guide and not a limit) or “2 over”. Out means the tech was marked out for that day. You do that with Mark out sick under the tech’s name, here or on Today (see map and routes). On the owner’s phone, the Schedule has the same words on each tech’s line, and Today has Someone called in sick near the top. Stops with no tech go on an Unassigned row. Click a box to open that tech’s route beside the grid. Click a day’s name (“Wed 14”) to see that day.

The day. Every tech is one line with a block for each stop: solid for done, ringed for the stop they are at, outlined for to go, amber for a callback and red for one that could not be done. The words under the blocks are the customers. The one line above the board is the key to the blocks. Not done lists the stops that could not be done on that day, with the reason and Move it, once.

Add a stop

  1. Press Add a stop. A panel opens.
  2. Under Customer, type a name, address or phone and pick the customer. For someone new, press New and fill in the name, address and phone.
  3. Check Day. It starts on the day you are looking at.
  4. Type a Time window the way you would say it: 2pm, 2:00, 2-4, 9-11 or afternoon. A line under the box shows how the board will read it.
  5. Check Tech. The list starts with the tech who has the fewest stops that day, and says how many each one has. The Service is filled in from the customer’s plan; type over it for something else.
  6. Add a Note for the tech, such as a gate code or a dog. If the service reads like a callback, you also pick Why the callback.
  7. Add a Note for the customer if you want the customer’s reminder email to say something about this visit, such as “Use the side entrance.” It is one line of up to 200 characters, with no link and nothing about money. Do not put a gate code here: an email goes to an inbox. Only the reminder uses it, and it is not in the schedule log (see email, Visit reminders).
  8. Press Add stop. It goes to the end of that tech’s route.

If the customer already has a stop that day, you are asked “Add another?” For a callback, see callbacks.

Move, reorder, cancel or delete

On an open route, press the move button on a row of a stop nobody has started (point at it and it says “Move to another tech or day”), or open the ... menu and press Edit. Change the day, tech, window, service or notes and press Save. In every date box, click the date itself to open the calendar, or type the day; Esc closes the calendar. A stop that lands on another route goes to the end of it. Once a tech has started a stop, its day can’t change. Once it is finished, its service and tech can’t change here either; open the visit and use Correct the record (see records).

If the owner has turned on visit reminders and the customer was already sent a reminder, moving the visit to another day or window, cancelling it or deleting it sends the customer a short note saying so, at most two notes for a visit. The server never emails about a visit dated today, so a change on the day, or after 6 PM the evening before, is not told to the customer: the Not going list in Settings, Email says Call them. See email.

The up and down arrows swap a stop with its neighbor. For a better driving order, see map and routes.

The ... menu also has Cancel (then Restore) and Delete, for a stop nobody has started. Cancel takes it off the tech’s route. The menu hides these for a stop a tech has started or finished, and the server refuses them too: you see “A tech has started this visit, so it can’t be cancelled” (or “deleted”), and a finished visit is part of the record. A plan’s stop comes back the next time plans book if you delete it, so cancel it to skip one visit.

Load a day from a spreadsheet

Press the ... button at the top, then Import a route from a spreadsheet. Pick a file or paste rows, with headers in the first row. You need a customer column and a service column. It also reads address, date, tech, window, notes and phone, under names like “technician” or “time window”. With no date, rows go on the day on screen. Dates like 10/15/2026 (month first) or 2026-10-15 work. Check the preview, then press Import. A customer it can’t match by name and address is added as a new customer. A tech name it can’t find leaves that stop unassigned. A window has to be a time like 9:00-10:00 or 9-11, the same as when you add one stop. If any window can’t be read, the page lists those rows by number, with what they say, and Import stays off until you fix them or leave the window empty. A row with a date it can’t read, or more than a year from today, is skipped and listed by row. A stop the customer already has that day for the same service is not added twice.

Fill from plans

Fill from plans books the two weeks from the day on screen. If that day has already passed, it starts today instead and tells you so, because a plan visit is never booked in the past. A plan day is left off when the customer already has a visit that day that was booked by hand or imported, and you are told how many. Pressing it twice is harmless.

When a tech couldn’t do a stop

Open the stop. A banner says the tech couldn’t do it and why. Change day or tech opens the day, tech and time to move it. Put it back on the route asks which tech and when (a tech who is out sick that day is greyed), then puts it back on the route for that day and says where it went, with Undo. The Inbox alert for it has Put it back on the route and Move to tomorrow. For the Inbox, see inbox.

Good to know

  • A tech’s phone picks up your changes when the app opens, when signal comes back, and every few minutes while it has signal. With no signal it waits. See offline.
