Put bait stations on file and read their history
For the office
Stations live on the customer’s Stations tab. Put them on file once, and every scan a tech makes after that builds the history.
Put stations on file
- Open Customers, then the customer, then the Stations tab.
- Tap Add stations. (If some are already on file, this button says All stations.) On the Stations page, tap Add a station. (On a property with nothing on file yet, the page has its own Add a station button.)
- Fill in Station number (as it’s printed on the station), Where it is, Kind (Termite bait, Rodent bait, Monitor, Trap or Other), Bait if you want, and In since.
- Tap Put on file. A tech’s phone gets it the next time it syncs, if that customer is on their route.
A station’s number can’t be changed later. The row’s menu has Edit and Take off file. A station taken off file keeps its checks in the history. A station a tech put on file shows “Put on file by a tech” under Where. You can edit it too.
How techs log them. On the stop, in Bait stations, the tech taps Scan stations (it reads Scan more stations after the first one). On a stop that isn’t a termite or bait station job and has no stations on file, Bait stations is under More details. The tech points the phone at the barcode and taps one of five buttons: No activity, Activity, Bait replaced, Missing or Damaged. A note and a photo are optional. On the stop, the list of stations shows Activity, Bait replaced, Missing and Damaged in amber, the same amber as the pin on the map. Amber means look at it. Red is only for late and for work that couldn’t be done. The scanner has one way out, Done. If the barcode won’t read, they tap Barcode won’t scan? Type it. Typing a number that was already scanned on this visit says Already scanned, with what it was logged as (like No activity), and Change it. A number that isn’t on file yet goes on file when the tech saves it, with where it is if they say. It is written like the others on file: 13 beside #0401 to #0412 is saved as #0413, and the phone says so. If the office already has that number on file, the office’s entry stays. With no signal, each scan is saved on the phone and goes to the office when there is signal.
Reading the history. Once a station has been checked, the Stations page has a switch at the top:
- On file: each station, where it is, its kind, when it went in, its last check.
- Activity by visit: a column for each visit and a mark for each station (✓ no activity, A activity, B bait replaced, M missing, D damaged, a dot for not checked), with a count of activity at the end.
- Every check: each station’s checks by date, with the status, the note and the tech. Tap a date to open that visit.
The page shows the last 24 visits that checked stations. When there may be more, a line under the title says the page and its printout show the last 24 and the CSV has every visit. Older checks are on those visits’ own records, and in the CSV.
For an auditor. Print / PDF prints all three parts, for the last 24 visits. Export (CSV) downloads a spreadsheet of every check at the property, from the first visit on, not only the last 24, with station, where, date, status, note, tech and photos. A property with many visits can take a moment. Export shows once there is a check.
Stations not scanned. On a visit’s record with station checks, a line starting Not checked this visit lists the stations on file that weren’t scanned.
Totals. In Reports, the Bait stations checked number opens four counts: Checked, With activity, Bait replaced and Missing or damaged. The Inbox can alert you to station activity.
